Position Overview
UHD is seeking a detail-oriented, highly organized, and proactive Executive Assistant to support the Executive Director and another senior staff member with day-to-day administrative tasks, scheduling, communications, and project coordination. This part-time, remote position plays a critical role in helping the organization run smoothly and efficiently.
Key Responsibilities
- Provide high-level administrative support to the Executive Director/senior staff member, including calendar management, scheduling meetings, and coordinating travel arrangements.
- Manage and organize emails, documents, and digital files across platforms.
- Draft and proofread communications, reports, meeting minutes, and other correspondence to ensure clarity and professionalism.
- Support project coordination by tracking action items, deadlines, and ensuring follow-through on next steps.
- Assist in preparing materials for meetings, including board meetings, internal presentations, and grant applications.
- Serve as a point of contact for internal and external stakeholders on behalf of the Executive Director when appropriate.
- Help maintain internal systems and workflows using tools such as Google Drive, Flipcause, Zoom, etc.
- Coordinate virtual meetings, webinars, and in-person events—including scheduling, invitations, logistics, and follow-ups.
- Coordinate accessibility and accommodations with vendors and service providers for UHD-hosted activities (e.g., ASL interpreters, CART captioners, language interpreters, wheelchair-accessible venues, etc.) for events, board meetings, and community programs.
- Support internal team culture and wellness, including virtual check-ins, internal communications, and culture-building practices to promote care and connection.
- Assist with onboarding new team members or volunteers, including tech access (e.g., Gmail, Zoom, Flipcause), scheduling orientation sessions, and preparing welcome materials.
- Help document and streamline team workflows and standard operating procedures to support sustainability and knowledge-sharing across roles.
- Assist in collecting materials, scheduling, and tracking deadlines for grant applications and reports on an as-needed basis.
- Help draft and format thank-you letters, acknowledgement emails, and provide support for small fundraising campaigns, including Giving Tuesday or year-end appeals (as needed).
- Attend and document program meetings, workshops, and peer-support groups by taking notes, summarizing key points, and assisting with follow-up communications.
- Track participant data or survey responses using spreadsheets or shared tools as needed for grant reports, community assessments, or internal evaluation.
- Maintain confidentiality and professionalism at all times when working with sensitive, personal, or organizational information.
Qualifications
- At least 2 years of experience in an executive assistant, administrative, or project support role.
- A minimum requirement of a bachelor’s degree in Disability Studies, Marketing and Communication, Business Administration, Social Work or an associate’s degree in Administrative Assistance or Office Management, and/or equivalent relevant work or lived experience in disability advocacy, administrative support, nonprofit operations, or related fields.
- Excellent organizational, time management, and multitasking skills.
- Strong written and verbal communication skills.
- Tech-savvy with proficiency in Google Workspace (Docs, Sheets, Calendar, Drive), Zoom, and project management tools (e.g., Monday, Trello, Asana, Slack).
- Experience working remotely and independently in a fast-paced, mission-driven environment.
- Ability to prioritize and manage multiple tasks with attention to detail.
- Strong interpersonal skills and cultural sensitivity.
- Commitment to disability justice and understanding of intersectionality.
- Experience coordinating accessibility or working with accommodations vendors is a plus.
- Knowledge of or connection to Hmong culture and community is preferred but not required.
Contract Terms
- This is a remote position.
- 20 hours per week at $20/hour, with flexible scheduling options—either 5 days per week at 4 hours per day, or 4 days per week at 5 hours per day. Must be available to work between 10:00 AM and 4:00 PM CST with some evenings as needed.
- Employment duration: 6 months, with potential for renewal based on funding.
